how to write one

Five rules that make an agenda hold up

A template gets the shape right. These are the habits that decide whether the meeting follows it.

    Give every topic a number of minutes

    A topic without a time limit borrows from whatever comes after it, which is why the last two items on most agendas get three minutes and a promise to follow up.

    Write topics as questions or decisions

    "Pricing" tells nobody what will happen. "Decide whether to hold the Q3 price increase" tells them who needs to be there and what to prepare.

    Name an owner per topic

    The owner opens the topic and is on the hook for the prep. Unowned topics are the ones that get read aloud from a screen share.

    Send it the day before

    24 hours ahead is enough for people to arrive with an opinion. An agenda that appears in the meeting is a table of contents, not a plan.

    End with owners and dates

    Reserve the last few minutes to read back what was decided and who owes what. This is the step that decides whether the meeting mattered by Friday.

Writing the Agenda

What should a meeting agenda include?
A subject, the date and start time, who's attending, the outcomes you need, and a numbered list of topics with a time limit and an owner on each. Leave space for discussion notes and action items to be written during the meeting rather than filled in ahead of time.
How long should each agenda item be?
Long enough that the topic can reach a conclusion, which for most discussion items is 8 to 15 minutes. Status items should be 5 or less, since anything longer is usually a written update being read aloud. If a topic needs more than 20 minutes, it's often two topics or a separate meeting.
How do I write an agenda for a recurring meeting?
Build it once and reuse the structure every occurrence, so people learn the shape and prepare for it. Keep three recurring slots: last time's open action items, the numbers, and the current issues list. Should the agenda go in the calendar invite?

What's the difference between an agenda and meeting minutes?
The agenda is written before the meeting and lists what will be covered. Minutes are written during or after it and record what was said, decided, and assigned. The minutes template covers both on one page, since in practice the agenda is what the minutes get written onto.
Do I need software to run agendas like this?
