Terms of Service

Last updated: September 28, 2026

Thanks for using Less Meeting! These terms explain what you can expect from us and what we expect from you. We’ve tried to keep them short and readable. If anything is unclear, email us at [email protected].

When we say “we”, “our” or “us”, we mean Less Meeting.

When we say “the Service”, we mean lessmeeting.com, the Less Meeting web app at app.lessmeeting.com, the Less Meeting iOS app, and the calendar and task sync features that connect them to Google and Microsoft 365.

When we say “you”, we mean the person or organization that owns a Less Meeting account, including any users added to that account.

By using the Service, you agree to the latest version of these Terms. If you break them, we may suspend or close your account. These Terms limit our liability to you. See the Liability section below.

Changes to these Terms

We may update these Terms from time to time. When we do, we’ll change the date at the top of this page. If a change is significant, we’ll also email account owners before it takes effect. If you keep using the Service after a change takes effect, you’re agreeing to the updated Terms. If we don’t enforce part of these Terms at some point, we haven’t given up the right to enforce it later.

Account Terms

  1. You must be at least 18 years old.
  2. You must provide an accurate name and a valid email address when you sign up. Accounts created by bots or other automated methods aren’t allowed.
  3. Each login is for one person. You can’t share a login, but you can add as many people as your plan allows.
  4. You’re responsible for keeping your password secure, and for making sure the people on your account do the same. We aren’t liable for losses caused by a failure to protect your login.
  5. You’re responsible for all content and activity in your account, including what other users on your account post and do.
  6. On a Team plan, the plan administrator buys and assigns seats. Removing a seat deactivates that person’s account.
  7. You can’t use the Service for anything illegal, or to send spam, harass people, or spread malware. You also can’t let anyone on your account do those things.

Free Trial, Payment and Plan Changes

  1. Every account starts with a free 14-day trial of every feature. We don’t ask for a credit card to start a trial.
  2. To keep using the Service after the trial, choose a Personal or Team plan and pay in advance. If you don’t, your account will be locked until you do.
  3. Monthly plans are charged to your card at the start of each month. Yearly plans are paid up front for the year. Card payments are processed by Stripe.
  4. Yearly plans can also be paid by purchase order (ACH or wire). Invoices are due within 30 days.
  5. When you add seats, the new rate applies from your next billing cycle. On yearly billing, we’ll send an invoice for the added seats. Every seat on your plan is billed whether or not it’s assigned to someone.
  6. Prices don’t include taxes. You’re responsible for any sales, use or similar taxes that apply, except where we’re required to collect them from you.
  7. Refunds work like this: a month of service that has started is owed in full, even if you cancel partway through, and we don’t prorate partial months. Yearly plans are discounted in exchange for paying up front, so they’re non-refundable. In order to treat everyone equally, no exceptions will be made.

Cancellation and Termination

  1. You can cancel anytime from Plan & Billing in your account settings. An email asking us to cancel doesn’t count as cancelling until we confirm it. If you need a hand, contact us and we’ll help.
  2. If you bought seats for your team, cancelling your own account doesn’t cancel those seats. Transfer the plan to someone else at your company, or remove the seats first.
  3. Once you cancel, we won’t charge you again. You keep access until the end of the period you’ve already paid for.
  4. We keep your account’s content for at least 30 days after your cancellation takes effect. To export it, contact us at [email protected] within that time. After 30 days we may delete it permanently, and once it’s deleted we can’t recover it. You can also ask us to delete your data sooner, as described in our Privacy Policy.
  5. We can suspend or close an account at any time if it breaks these Terms, puts the Service or other customers at risk, or is used for something we won’t support. If we close your account, you lose access to it and its content. We can also refuse service to anyone.
  6. Abusing or threatening anyone who works for Less Meeting will get your account closed immediately.

Changes to the Service and Prices

  1. We regularly improve Less Meeting, and sometimes that means changing or removing a feature. We may modify or discontinue any part of the Service, temporarily or permanently.
  2. If we raise prices for existing customers, we’ll email the account owner at least 30 days before the new price applies.

Uptime, Security and Your Data

  1. The Service is provided “as is” and “as available”. We work hard to keep it running, but we don’t offer a service-level agreement or guarantee it will always be available or free of errors.
  2. We encrypt data in transit and at rest, and the text of your notes and action items is encrypted in our database. Our Privacy Policy has more detail.
  3. We only process your data to provide the Service, as described in our Privacy Policy. People at Less Meeting only look at your content when you ask us to (for example, for support), when it’s needed to keep the Service secure, or when the law requires it.
  4. We use third-party vendors for hosting, storage, email, payments and support. The full list is in our Privacy Policy.
  5. If the GDPR or a similar law requires you to sign a data processing agreement with us, contact us at [email protected].

Calendar and Task Integrations

  1. When you connect Google Calendar, Google Tasks, Microsoft Outlook or Microsoft To Do, you let us read and update the events and tasks needed for the sync features you turn on. You can disconnect them anytime from your settings.
  2. Your use of those services is also subject to Google’s and Microsoft’s terms. We aren’t responsible for outages or changes on their side that affect syncing.

Your Content and Our Property

  1. Your content is yours. The meetings, agendas, notes, action items and other material you and your users add to Less Meeting belong to you, and we claim no ownership of them.
  2. You give us permission to store, process and display your content only as needed to run the Service for you. For example, we need it to send agendas and minutes to the attendees you choose.
  3. When you share a meeting with attendees, they can see its content and share it further.
  4. You must have the rights to anything you upload. We don’t review content in advance, but we may remove content that is illegal or breaks these Terms.
  5. Less Meeting owns the Service itself, including its software, design and logos. You can’t copy, resell or reuse any part of it without our written permission.
  6. If you send us feedback or ideas, we can use them without owing you anything.

Liability

To the extent allowed by law, Less Meeting isn’t liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or goodwill, arising from your use of the Service or your inability to use it. This includes damages caused by unauthorized access to your data, or by the conduct of third parties on the Service.

If we are liable to you for anything, our total liability is limited to the amount you paid us for the Service in the 12 months before the claim arose.

Some jurisdictions don’t allow these limits. If you’re in one of them, the limits apply only as far as the law allows.

General

  1. These Terms are governed by the laws of British Columbia and the federal laws of Canada that apply there. Any dispute will be handled in the courts of British Columbia.
  2. If a court finds part of these Terms unenforceable, the rest still applies.
  3. These Terms and our Privacy Policy make up the whole agreement between you and Less Meeting, and they replace any earlier versions.
